Senior Workplace Coordinator

The Senior Workplace Coordinator role is at the forefront of delivering a positive workplace experience for the LDN staff and visitors. To show high levels of customer care and service to all clients, partners and Croud employees. Your dedication to excellence in client service will be evident in every interaction, contributing to the overall success and satisfaction of the LDN workplace.
RESPONSIBILITIES
- Manage day-to-day operations and oversight of visitors, client meetings & reception, as well as meeting rooms with the support of the workplace team to ensure smooth running of meetings and events
- To provide a high level of professionalism, warm courteous and prompt welcome on arrival for all visitors to the Workplace
Workplace Operation
- To ensure the building management are aware of any maintenance issues requiring attention in the office
- Report to Senior Workplace Manager
- Ensuring Health & Safety compliance for the LDN workplace
- Manage ordering of Staff lunches
Sustainability
- Support the workplace sustainability policy so that it meets current and impending regulations and reduces the Group's carbon footprint in line with our sustainability and corporate social responsibility policies including
- Support an effective and efficient workplace operations that support in the running of an inclusive and sustainable workplace
Physical Spaces
- Ensure meeting rooms are always presented to the highest standard and the office and IT teams are kept abreast of daily meeting room schedules
- Manage all incoming telephone calls and emails/ enquiries efficiently and transfer messages if needed
- To provide assistance for meeting room bookings as required and to liaise with relevant parties to ensure the delivery of a professional service
- To carry out regular checks of the meeting rooms on site to ensure correct set up and readiness for use, including rearranging furniture and room layouts as required
- To anticipate visitors needs, offering refreshments and ensuring that their arrival is communicated to the relevant people promptly
- To maintain an organised and tidy work area - this is to include the front desk, client seating and kitchen
- Ensure stock levels are replenished, stationery is ordered as required
Events
- Assist the Senior Workplace Manager in organising LDN events from planning to execution including, but not limited to, venue searches, invitations, RSVP management and set ups
- Support the Global EA & Head of Events with larger UK group events
- Power each agency within the Group through supporting execution of culture events and initiatives
PERSON SPECIFICATION
- Previous experience in a high-volume front-of-house or customer-facing role
- Exceptional attention to detail
- A proactive team player with a “can-do” attitude, ready to tackle challenges to get the job done
- Excellent communication skills, with a solutions-focused mindset
- Confident in managing inquiries and engaging with people at all levels
- Experience in event coordination and hospitality is desirable
- Strong problem-solving skills, with the ability to think on your feet and adapt to changing circumstances
- Highly organised, with the ability to multitask and prioritize effectively in a dynamic environment
- Committed to fostering an inclusive and positive workplace culture
- Flexible approach to working patterns, including availability for evenings when needed

Standard hours are from 9.00am to 5.30pm, there’s flexibility if agreed in advance with your line managers (it may also be necessary on occasions to work outside of these hours).
